5. Publishing the Schedule

If you have full access to the Schedule, you should have permission to Publish it straight away after you finish building it.

To do this, click on the blue ‘Actions’ button to the right of the schedule. And in the dropdown menu click ‘Publish’. 

In the box you can see it’s selected all the Employees on the Schedule.  Each of these people will be emailed their own shifts only, and sent their own shifts only, through the MyZimply app once you click ‘Send’.

If you would like employees to receive the full schedule, you can attach the full schedule to the email they receive by checking this box.

Once you click “Send”, the schedule will be successfully Published

The schedule turns grey to show it is Published and now locked, so you cannot accidentally make changes

You can see in the top left that it says it is ‘Published’ and you can see who published it and when. 

You can also see that all the employees listed have been sent their shifts, so everyone knows what’s expected for the week.

If you need to make a change to the schedule, all you have to do is click on the schedule, and purposefully confirm ‘yes, I want to unlock the schedule’. At that point you can then change any shift if you need to.

Changes will be tracked for each person as they happen:  it will say “changed” in orange underneath their names.  If your schedule has “changed” written on it, it means the employees have not been updated on the changes to their shifts.  You must then remember to Publish the schedule again using the same actions as before. 

As you can see, only Employees with changed shifts will be updated on those changes.
