13. Daily Timecard Approval on MyZimply

To approve Daily Timecards on the MyZimply app, you must have access to the Manager Portal. When you login, click on the “More” option at the bottom of the screen, then select “Timecards” from the pop up. 

This will bring you to today’s Timecards. You can see this if you click into one of the records currently displayed:  You cannot approve the Timecard yet because the employee is still clocked in.

So in order to approve some Timecards, I should navigate to an earlier date.  I can do this by either using the arrows at the top of the screen, or I can use the date picker.

So in the current view I can see a list of Daily Timecards.  This view is showing me the Daily Timecards which are “Pending”, or have not yet been Approved.

I can switch to see “All” Daily Timecards if I prefer, or the “Approved” Daily Timecards for the day.

For each Daily Timecard I can see the status of the Timecard, what Schedule the employee worked, what Position they were working,  the scheduled hours for the shift, the actual hours for the shift, and the total paid hours for the shift.

If I click on an individual Daily Timecard I can see more details and I can also Edit the Timecard.

If I click on the Schedule, I can change the Schedule the shift is attributed to.  I can also change the Position associated with the shift.

If I’m happy with everything else on the Timecard, I can click “Approve Timecard” at the bottom of the screen, and the Daily Timecard will be approved.

If I’ve made a mistake, I can Unapprove the Timecard by clicking “Unapprove” and then confirming that I wish to Unapprove the Timecard.

Back in the full Daily View, I can use the filtering options to speed up my Approval process. 

Click on the blue circle to select your filters, and in here you can decide which Daily Timecards you wish to view by selecting the option, and clicking Apply.

I’m now viewing my Early Clock-in Timecards. I can click into the Timecard to edit the Paid Times. As with other Timecards, I just select between the Scheduled and Actual Times to change the Paid Times.

I can also click on this icon to add in a note to explain any changes or edits made.

Just type in the note you want to leave for any changes in the space provided. Then click “Add Note”.  Anyone can view the note, but only the author can delete it.

A red alert will now appear on the Note icon to indicate there is a note on the Daily Timecard.

I can also swipe to the next Daily Timecard in my current filtered view using a swipe action, instead of returning to click into each individual Timecard.

Like with the Tiles on the web view, I can return to the filters, and now view all Timecards that were not originally scheduled.

As I click into this Timecard to see more detail, I can see that there is no unpaid break to deduct from the hours paid.  Like with other Timecards, I can click into the Paid Times boxes and edit as I wish, in this instance typing in a 30 minute unpaid break.

This will update the paid hours, and then I can approve the Timecard.

Returning to the filters again, I’m now going to look at No Shows. In this instance we have one ‘No Show’ and we can view a note that already has been left on the Timecard.

Because of this note I don’t want to add any paid time to the Timecard.  However, if I did, I just click on the unselected shift, and it will populate the Paid Times.

As this was a mistake, I can then click the “Delete” button, and then confirm that I wish to delete the Paid Time on this Timecard. This will then remove the Paid hours from the Timecard.

If I’ve checked all my Timecards and want to approve them quickly, there are two options available to do so on MyZimply.     The first option is to swipe right quickly on each Pending Timecard

The second option is if you hold down for one second on a Timecard, it will activat a “multiple select” view. This allows you to then select all the Timecards you can view, and Approve them all in one bulk action. 

A quick drag downwards will then refresh the screen to show that all Timecards for the day have been approved.
