12. Daily Timecard Approval

Once you know and understand how to approve Timecards in a weekly view, you may decide to use the Daily View to approve your Timecards instead.  

To go into your Daily View, on the left-hand side, click where it says “Daily View” and you will now see Timecards which can be Approved daily rather than weekly.

Here are some completed Daily Timecards.  Like with Weekly Timecards, we have the date of each shift, and then the employee name. 

Then we have the Scheduled times for each shift, the Actual times the employee clocked in and out, and then the Paid times here.  Like the Weekly Timecards, the Paid times are created from an automatic selection between Scheduled and Actual start and end times for each shift based on the Timecard Settings in the account.  An unpaid break may also be deducted.

The total amount of hours for each shift is then here at the end of the row.

Like the weekly Timecards, you also have the Schedule the employee shift is attributed to, as well as the position they worked. You can also enter in Cash Extras for each day. 

There is extra functionality on this page as you can filter the Daily Timecards by a number of different options. 

Firstly, you can sort the listed Daily Timecards in ascending or descending order based on the date, employee name, schedule, position, cash extras or Total Hours. 

You can also filter with these selected options above the Daily Timecards, by choosing a particular Position or Schedule, or searching for an employee’s name in the search box.

These tiles at the top of the page also help to manage your Timecards by exception. Each tile gives a summary of the Daily Timecards visible on the page. 

The Pending records are those which have yet to be approved.  The Approved records are those which have been approved, of which there is currently zero.

This tile then indicates where employees have clocked in earlier than their Scheduled time.  So these timecards may need to be checked and updated before approval. If you click on the tile you are presented with the two records which can then be individually checked and managed.

As before, if you wish to update the time paid to any employee, you can change the automatic selection between the Scheduled and Actual times by clicking on the other option.  This will then update the Paid times and update the total paid hours.

The next tile at the top of the page then refers to the employees who clocked out later than their scheduled time.  These may also need to be individually checked and edited.
