10. Managing and Understanding Attendance

Once employees are clocking in and out to Bizimply, you can view that information through the Web App.
On the Dashboard on the left-hand side you can view the live Attendance, but you can drill into the attendance records in each individual location.
To do this, first select the location you wish to view on the right-hand side. Then you can click the Attendance icon at the top of the page.
The Attendance section will always open on the current day. And to the left you can see anyone who is currently clocked in, and how long they have been clocked in for.
One thing that is obviously missing here is the photos from the Timestation. This is a common issue that you can correct on the Timestation itself.
On the Timestation, click into the Manager section in the bottom left-hand corner, enter the Manager PIN, and click into Settings.
The setting that needs to be turned on is ‘Upload Photos’. In the bottom left, you should click onto “Status” and this will then force a sync of all records from the Timestation to the web application. We can then sign out to return to the clock-in page.
If you refresh the page, you can now see all the photos from our clock-ins today.
If we go into yesterday, what we can see is clock-in photos for all of our employees. However, we might be missing some photos.
For instance, here we can see a clock-out time for Lana, but no clock-out photo. This implies that Lana was manually clocked out through the Manager section of the Timestation app.
This means it’s likely she forgot to clock out when she left work yesterday.
In the record above for Rachel, we can see both photos, but you’ll notice a “plus one” symbol under her time record. This means that Rachel clocked out at this time the next day to her clock-in record. This means her time working is logged as 25.32 hours. What the likely explanation for this is that she forgot to clock out when she left work on Wednesday, and then clocked out when she came in on Thursday.
You can see on Thursday her clock-in time is similar to her clock-out time on Wednesday.
Back into Wednesday’s records, we can see an exclamation mark beside Maire Davis’ name. If we hover over this it says the record was manually adjusted, and by who and when. She also has no clock-out photo. So this all means she forgot to clock out on Wednesday, so was then manually clocked out by someone through the web app.
We can now demonstrate this with Jeremy who is still clocked in. Just type the time he finished work into the available space. And he is now clocked out.
These red buttons on the left indicate clock-in records which are longer than typical shifts, which often need to be clocked out manually. If you click on the red button it will bring you to the open clock in record, which you can then close by typing in the finishing time of the shift.
Once you do this the exclamation mark will appear, and will detail who took the action and when for transparency.
If you have allowed any of your employees to clock in via MyZimply, you will see this red marker instead of a photo. This shows you the GPS location of an employee when they clocked in, so you can check if they were onsite or not.
Lastly, if you want to, on any day, you can add in a new record manually.
Just click on “New Record” select your employee from the dropdown menu, and then type in a time for that employee to have started work.
Then click save.
This also will show the record as manually entered aswell as the details.
As a general recommendation, it’s better to leave your attendance records to be as accurate as possible, rather than manually editing them, or entering records for employees who have forgotten to clock in. You can manage what employee should be paid on the Timecards rather than editing the attendance records.
