4. Submitting a Schedule for Approval

Depending on your access, you may only have the visibility of one location and even just one Schedule on Bizimply rather than all of them

This is currently a Manager view,  and as part of permissions, the Manager is not able to publish a Schedule.

Instead, the manager will create the Schedule and then submit it for approval. 

Click on the ‘Actions’ button, and now click on “Submit for Approval” in the dropdown menu.

Instead of submitting straight away, the Manager can leave a note for context in the private notes in the Notes tab at the bottom of the schedule.  If there is no note, just click “Submit for Approval”. 

The schedule is now submitted and is “Pending Approval” before being published.

An email is sent to the Schedule Approver to take this action.

Now – we’ve switched view to an Admin on the account. The schedule is still “Pending” and waiting for Approval.

To set up people to approve schedules, you need to click “Actions” and then “Schedule Settings”.  In here you can choose from the users with the correct access to approve schedules who should be alerted to approve each one.

To Approve the schedule, you should go to Actions, and in the dropdown select “Approve or Decline”. 

If happy, click ‘Approve and Publish’, and then all these employees selected are now going to receive their scheduled shifts information via email or the MyZimply app. 

The schedule is now Published.

The Manager will get a notification by email the schedule is Published, and when they login to Bizimply will see the locked and Published Schedule.

If the Manager needs to make changes, they can unlock the schedule if they have the correct permissions.

Once unlocked they can complete any changes that might need to happen.

To give context to the changes so they can be approved, it’s useful to put in a note for the schedule approved in the Private Notes tab.

The Manager should then click “Actions” and submit the schedule again as before.
