7. Schedules, Positions and Aligment

For our last video on Bizimply settings, we’re going to cover a few different topics, the first of which is Employee Positions.

You need to go again to the top right- hand corner and click on your name or email address.  Then choose Settings from the dropdown menu, and on the left-hand side choose Employees, and then Employee Positions.

As you can see, there are currently no positions in this account, but if I want to assign a position to any of my employees in their Employee Profile, and also assign them on the Schedule, I need to add them in here first.

Click on the button that says “New Position”, and type in the position, and then click “Save”.

I can assign a color to the position so it colours the shift when chosen on the schedule.  I can also edit the position if I maybe want to add in a Position Code for payroll purposes, or also Tronc points if needed. 

I can also choose to delete this position if I want to by clicking on the Trash icon. 

Next, we’re going to look at how to add different Schedules or Rotas to your account. Scroll down the page to where it says Scheduling on the left-hand side, and click into Schedules.

Currently there is one default schedule which is called “Schedule”. I can edit this to update the name as I need for my business. I have this box ticked so that this named schedule will appear in all Locations on my account. 

And I also have a Back of House schedule for my kitchen staff.

If I just want to add a new schedule for just one location, make sure that you untick this box to have it turned on for all locations.

If you want to delete a Schedule, you can click on the Trash Icon here.  But there are warnings here to make sure that you don’t accidentally delete a Schedule which could affect your organisation and historical records.  It may be preferable to just turn off the Schedule rather than delete it. 

The last Setting to look at is how to align all your Scheduling, Dashboard and Forecast data to start on the same day of the week.

So up here you can see the Schedules start on Monday. I want to align this with whatever settings I have currently in my Time Cards.  I then need to go and do the same for my Dashboard, by going in Dashboard Options, and Dashboard settings, and changing the day from the menu

To find the Forecast settings, I need to click on the Forecast Icon at the top of the page. In here I click on General on the left-hand side, and change the day here too. Then click ‘Save’.
